Input Processing Services

Create digitized copies of important LGU records for efficient service processing and reliable long-term preservation.

Beyond the notion that digitization is intended only for archival and preservation, we find that the true value of digitization is about making the digitized documents and their data retrievable and useful for subsequent processing. With availability of more robust cloud storage and database solutions, data can be preserved by securing digital copies that have been properly indexed for the purpose of search and retrieval. As complex as this process might seem, it is made possible by the synergistic combination of our people, process, technology, and equipment. SVI guarantees 99.95% data accuracy through its double-blind pass process, ensuring that images are linked to the correct data. It is important that source documents are easily retrievable based on encoded information.

Digitization is easily implementable for all types of documents handled by an LGU – from citizen records, corporate/business records, transaction records, contracts, HR records, to accounting records – it’s just a matter of defining the right configurations. Scanning and encoding are key processes behind SVI’s digitization solution. Depending on the project requirements, SVI utilizes different models for the deployment of its equipment and manpower complement to ensure the cost-efficient performance of digitization tasks within the target schedule.

SVI implements three input processing models, depending on the LGU’s requirements:

  • On-site scanning and encoding
  • On-site scanning and off-site encoding
  • Off-site scanning and encoding

On-site scanning and encoding can be further classified into a per branch, regional, or centralized locations. All three models work but the most cost effective is the second one – on-site scanning and off-site encoding. This model ensures that physical documents never leave the client’s office, saving on logistics cost and safeguarding the documents from being lost in transit. SVI can deploy its equipment and personnel to the on-site locations to scan the documents, then the digitized images are transmitted to the off-site encoding locations through the cloud. Upon receipt of scanned images, SVI’s highly trained and experienced encoders can finish millions of documents in as fast as a 12-hour turnaround time, effectively enabling its clients to expedite further processing, review, and approval (if applicable) of its documents.

Apart from scanning and encoding, other processes involved in digitization are grooming, image QA, rebinding, encoding QA, validation, and reformatting. All these processes are designed to make sure that the digitized documents and data delivered to the user are compliant with service level agreements and its citizen’s charter.

SVI promotes outsourcing of digitization work mainly because of the following benefits to the clients:

  • Frontliners can focus on quickly assisting residents instead of doing data entry work
  • Minimize overtime work by branch and other personnel (overtime is usually spent doing data entry work)
  • Allow personnel to effectively perform their core duties
  • Eliminate re-work and data cleanups resulting from inaccurate encoding
  • Quicker feedback to residents due to immediate availability of information
