Digitization is easily implementable for all types of documents handled by any business – from customer records, transaction records, contracts, HR records, to accounting records – it’s just a matter of defining the right configurations. Scanning and encoding are key processes behind SVI’s digitization solution. Depending on the project requirements, SVI utilizes different models for the deployment of its equipment and manpower complement to ensure the cost-efficient performance of digitization tasks within the target schedule.

SVI implements three input processing models, depending on the client’s requirements:

(1) On-site scanning and encoding
(2) On-site scanning and off-site encoding
(3) Off-site scanning and encoding

On-site scanning and encoding can be further classified into a per branch, regional, or centralized locations. All three models work but the most cost effective is the second one – on-site scanning and off-site encoding. This model ensures that physical documents never leave the client’s office, saving on logistics cost and safeguarding the documents from being lost in transit. SVI can deploy its equipment and personnel to the on-site locations to scan the documents, then the digitized images are transmitted to the off-site encoding locations through the cloud. Upon receipt of scanned images, SVI’s highly trained and experienced encoders can finish millions of documents in as fast as a 12-hour turnaround time, effectively enabling its clients to expedite further processing, review, and approval (if applicable) of its documents.

Apart from scanning and encoding, other processes involved in digitization are grooming, image QA, rebinding, encoding QA, validation, and reformatting. All these processes are designed to make sure that the digitized documents and data delivered to the user are compliant with service level agreements and client-specific requirements.
